We are being required to fill out paper forms anytime our equipment is moved from a building, space or its disposition changes. This creates a lot of paperwork for the tech department. If we could email the appropriate people who need to know when a change like this is made it would help to minimize the paperwork.
From my understanding we created the Disposition field before there was an Asset Status field. If it would make it easier to use the Asset Status field we could move to that rather than use the Disposition field. I am hoping with your follow up questions to my request that this request may come to fruition ;)?
It is a drop down that identifies the status of the device. It is a drop down under Additional Information. The choices are deployed, disposed, storage, missing and defective.
Hi @Guest when you say Disposition, can you elaborate on that? Just want to make sure I am fully understanding. Thank you.
The main changes would be building, space and disposition. If any of those fields are altered we would need an email sent to 2 individuals. It would always go to the same 2 individuals no matter the value of those fields.
Thanks @Guest that is really helpful to know!
Would the email go out for just location changes, for example building/space or would you require users to be notified from other changes on an asset record?
The assets could be all sorts of tech assets, any of our devices (teacher laptops, student CBs - not all are 1:1 we have some assigned to classrooms), interactive panels - some of which are on carts some which are wall mounted, printers...
Notifications would go to the same 2 people no matter the type of asset.
Hi Barb! Thanks for the idea submission. Please verify your account in our idea portal and I can @ mention you so can receive more targeted notifications from us. I have a few follow up questions for you!
What kinds of assets require this kind of paperwork, is it tech assets like 1:1 devices or other moveable devices? or are they fixed?
When it comes to who should receive these notifications is it the same group of people for all these kinds of assets or is it more specific on a per asset basis or is it per building, etc..
